DM5 > DM6 Email glitch

I have just completed the migration. I've been using DM5 for several years, and I appreciate the new email tab where we can easily enter more than one address. My previous workaround has been to separate multiple addresses with a ";" so Outlook could still process and send.

Over the years there have been several edits of email addresses. Most of the time I wanted to "log" old or removed email addresses so after I delete them from teh email field, I paste them in the notes just for reference.

Now In DM 6 - Many of the old email addresses are in the email/social tab, but the ones actually in the email field aren't in there. Or somethimes they are, but 2 addresses with the ";" separator. Sometimes it reads the ";' right and lists as two addresses. Sometime it grabs an old, invalid email, and doesn't use the new, updated email.

I suppose this is a one-time glitch and once I get it all fixed it will remain fine. But is there another way to do this rather than go thru, one by one, with DM5 and 6 both open to check, and manually fix each one? With over 400 entries it will take some time.

We may have discussed this, Dave. I can't remember.

But, try this.

Make a backup of your data.

Then use Tools -> Refresh E-Mail Addresses

See if that helps.

Now, if you have some addresses with a comma between them, and you want to change it to a semi-colon, let me know and I'll but a menu item in to the program to do that at one go (it's actually very easy to do at the programming level).

And let me know which way they should go: , -> ;, or ; -> ,

Hi John,

We have been sending out our newsletters via email with DM. Over time we have changed some of the donor emails. When we create new batches of newsletters to send out, the old email addresses still show up as well as the new ones. We can't find those old email addresses anywhere on the records affected but somehow DM is still using them.

I have done a Quick Back up, and looked for a "refresh" button as you have told the previous writer but I cannot find any such button on DM 6.08. We have used the report to verify what is being generated. In fact one entry that had multiple changes, many of which are duplicates, had all the changes listed. So that person receives about five copies of the newsletter!

How do we permanently delete all the old email addresses?

It seems like the previous writer didn't respond to your suggestion so I don't know if this is really a bug or if there is some button that we don't understand.

Dear John,

I haven't check out DM for a few versions so when my wife told me about this problem, I didn't know that a whole section related to social media and emails got added. Is it possible that when we migrated from DM 5 to DM 6, that the program added multiple versions of the same email addresses for some reason? I am going into the affected records and deleting the extra or old email addresses and re-generating a mailing report to see if this solved my problem.

I will let you all know what happened.

Dear John,

Apparently it isn't a glitch after all. Those records I have edited with incorrect email addresses that I can access in the social/email button of the record have all come out correctly when I generated the email report. Thank you for making this new feature so that we can have more control on email and social media!
